HOURS:               8:00 am to 4:30 pm- 4 Days Per Week

JOB DESCRIPTION:

 

The Police Records Clerk performs administrative duties as set forth by the Chief of Police.  Work is of a confidential nature in which an employee must organize and maintain confidential and non-confidential police records, and assist the public by providing necessary information when applicable.

 

MINIMUM QUALIFICATIONS:

 

-High School Diploma and two years of related experience.

-Experience and knowledge of computer software.  (i.e. Microsoft Office: Word, Excel, Outlook, Explorer and other browsing programs.)

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

 

-Computer Literate

-Good Writing, analytical and problem-solving skills

-Knowledge of principles and practices of organization and record management

-Ability to communicate effectively

-Ability to operate standard office equipment

-Ability to follow oral and written instructions

-Ability to work alone or as part of a team

 

DUTIES AND RESPONSIBILITIES

 

-Ability to maintain confidentiality and security of police records and information when retrieving and distributing related materials

-Date entry of information form police reports into CAD data system

-Comply with OPRA (Open Public Records Act) requirement, in addition to applicable federal, state, and local requirements and procedures

-Attends all assigned training

-Interacts professionally, effectively, and courteously with customers

-Collect all monies received

-Retrieve mail, sort, and deliver to proper individuals

-Interact professionally and courteously with employees of the Police Department and Township Employees.

-Answer and direct all administrative, informational, emergency, and non-emergency telephone calls, referring them to the proper extension or authority

-Greet the public including walk in complaints, directing them to the proper person or office

-Ability to represent the Township in a professional manner to deliver the most positive public image. 

 

The duties listed above are examples of the various duties that are performed by the Police Records Clerk.  The position does not exclude any duties not listed that may be requested of the Police Records Clerk for similar or related duties.  All job descriptions are subject to change if the needs or requirements of the police department mandates.
